Key terms and concepts used in FTS Platform
Glossary & Concepts
Understanding these terms will help you navigate the platform.
Projects
Project
A building permit application being managed through the system. Each project tracks all the work, documents, and approvals needed to get a building permit.
Project Status
Where the project is in its lifecycle:
- Unprocessed - Just created
- Assessment Completed - Checklist review done
- Commenced Ordering - Service orders are being placed
- Building Permit Applied - BP application submitted
- Building Permit Issued - Permit granted
- Complete - All work finished
Location & Property
SPI (Standard Parcel Identifier)
A unique identifier for land parcels in Victoria. Format: 1\PS123456 (lot number \ plan of subdivision).
EZI Address
Victorian standard address format. Example: 25 SMITH STREET MELBOURNE 3000
Zone
Planning zone that determines what can be built. Common zones:
- GRZ - General Residential Zone
- NRZ - Neighbourhood Residential Zone
- RGZ - Residential Growth Zone
Overlay
Additional planning controls that apply to a property:
- BMO - Bushfire Management Overlay
- HO - Heritage Overlay
- DDO - Design and Development Overlay
LGA
Local Government Area - the council responsible for the property.
Orders
Order
A request for a service, sent to a vendor (council, assessor, etc.).
Order Types
- DA - Development Application
- Engineering - Structural engineering assessment
- Energy - NatHERS energy efficiency rating
- RC - Report and Consent
- Planning - Planning permit
- Building Permit - Final permit application
SLA (Service Level Agreement)
The agreed timeframe for completing an order. Used to calculate expected completion dates.
Core Milestone Order
An order linked to a key project milestone. Core Milestone orders appear in their own dedicated tab in the Customer Portal, separate from regular orders. Some are "Core Milestone Only" and appear exclusively in the Core Milestone tab.
Delivery Performance
A metric showing whether an order was delivered ahead of, on time with, or behind the expected date:
- Ahead (+Xd) — Delivered X days before the expected date (green badge)
- On Time — Delivered on the expected date (blue badge)
- Delayed (-Xd) — Delivered X days after the expected date (red badge)
On Hold
An order status indicating the order has been paused. The customer may need to provide additional documents or information before the order can continue.
Resubmission
The process of sending a previously rejected or on-hold order back for processing after corrections have been made. Resubmitted orders may receive a new expected date.
Vendor
The organisation providing a service (council, engineering firm, energy assessor, etc.).
Documents
Document Type
Category of document (Architectural, Engineering, Energy, etc.).
Document Subcategory
Secondary classification within a document type. For example, within "Architectural Drawings" there might be subcategories like "Floor Plans" or "Elevations".
Version
Documents are versioned when updated. Version 1, 2, 3, etc.
Archived
Previous versions that have been replaced by newer uploads.
Checklists
Checklist
A list of compliance requirements that must be assessed for each project.
Part 5
Building Regulations checklist for standard lots (300 sqm or larger).
SLHC
Small Lot Housing Code checklist for smaller lots (under 300 sqm).
Checklist Item
Individual requirement to be assessed (Yes/No, Compliant/Non-Compliant, etc.).
RFIs
RFI (Request for Information)
A formal request for information from the client, linked to a checklist item.
Active RFI
An RFI that's visible to the customer and awaiting their response.
Ready for Review
Status when the customer has responded and staff needs to review.
People & Companies
Company
The builder or developer who owns projects.
User Group
A division or team within a company.
Manager
The staff member responsible for a project.
Client Contact
The customer's main contact person for a project.
Invoicing
Line Item
A single charge on an invoice (e.g., "Engineering Assessment Fee").
GST
Goods and Services Tax (10% in Australia).
MYOB
Accounting software integrated for invoice syncing.
Portals
Admin Portal
The staff-facing interface for managing projects, assessments, orders, invoices, and system configuration. Accessed by FTS consultants, assessors, and administrators.
Customer Portal
The customer-facing interface for viewing projects, tracking orders, uploading documents, responding to RFIs, and communicating via project notes. Accessed at /projects by authenticated external users (builders, developers).
Ordering Portal
The self-service ordering interface that allows customers to place new service orders through a guided wizard, manage payments, upload documents, and track order status.
Sale Check
An order type used to verify sale/transaction details for a project. Appears as a downloadable order in the Customer Portal when completed.
Sale Accept
An order type confirming acceptance of sale terms. Similar to Sale Check but representing the acceptance stage.
Found Address
An alternative or additional address matched to the same SPI (Standard Parcel Identifier). When multiple addresses map to the same parcel, the system tracks the "found" address separately from the primary project address.
Payment Status
The state of payment for an order in the Ordering Portal. Options include unpaid, paid (via Stripe), or billed to account.
Estates
Estate
A property development with multiple lots/projects.
Estate RFI
Additional information requirements specific to a particular estate.
Status Indicators
